These Terms of Service ("Terms") govern your use of PortfolioMD ("the Platform"), accessible at portfoliomd.co.uk. By accessing or using the Platform you agree to be bound by these Terms. If you do not agree, do not use the Platform.

⚠ Important

PortfolioMD is an independent clinical companion tool. It is not affiliated with, endorsed by, accredited by, or approved by the General Medical Council (GMC), the Royal College of Anaesthetists (RCoA), the NHS, or any other official body. Use of the Platform does not guarantee any application outcome.

1. About PortfolioMD

PortfolioMD is an AI-assisted platform that supports doctors in preparing reflective statements, mapping portfolio evidence to curriculum domains, and preparing supporting documentation for applications via the GMC's Portfolio Pathway. The Platform is operated by PortfolioMD Ltd, a private limited company registered in England and Wales (Company Number 17246944), with its registered office at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom.

The Platform uses Anthropic's Claude AI service to generate and review content. PortfolioMD Ltd provides scaffolding and guidance — final professional responsibility for any submitted content rests with the user.

2. Who can use the Platform

The Platform is intended for use by:

Qualified medical doctors with valid medical registration (or applying for such registration)
Adults aged 18 or over
Individuals preparing applications for UK GMC Specialist or GP registration via the Portfolio Pathway, or related professional development

You confirm by using the Platform that you meet these criteria. The Platform is not intended for use by patients, the general public, or anyone seeking medical advice.

3. Your obligations when using the Platform

You agree that you will:

Comply with all professional duties including GMC Good Medical Practice, patient confidentiality obligations, and any applicable professional regulator's standards
Not enter patient-identifiable information of any kind, including names, NHS numbers, dates of birth, specific dates, or any combination of details that could identify a patient
Not enter fabricated, exaggerated, or aspirational content — every claim you submit through the Platform should be factually true to your actual experience
Personalise and verify all generated content before any external use, ensuring it reflects your real experience, your voice, and your verifiable evidence
Treat generated content as draft assistance, never as final submission material
Cross-check all clinical guidance provided by the Platform against the official RCoA 2021 Curriculum, GMC Specialty Specific Guidance, and any other authoritative source applicable to your application
Not share generated content with other Portfolio Pathway applicants or use the Platform to facilitate plagiarism
Not attempt to extract, reverse-engineer, or misuse the Platform's API keys, prompts, or underlying systems
Not use the Platform for any unlawful purpose or in any way that could damage, disable, or impair the service for others

4. AI-generated content

Content generated by the Platform is produced by Anthropic's Claude AI based on your input and on guidance encoded by PortfolioMD. You acknowledge that:

AI-generated content may contain errors, omissions, or extrapolations
AI-generated content is not a substitute for human professional judgement, mentor input, or direct verification with the RCoA or GMC
You are solely responsible for the accuracy, truthfulness, and appropriateness of any content you submit externally
The Platform's guidance reflects publicly available RCoA and GMC documentation, interpreted by AI — it may not reflect the latest changes or unwritten assessor expectations

5. Data and privacy

Use of the Platform involves transmission of the text you enter to Anthropic's AI service for processing. Anthropic processes data in the United States. Anthropic does not train its models on API content but may retain data for up to 30 days for safety review.

Email addresses submitted via the waitlist or specialty-interest forms are stored by Netlify Forms and are accessible only to PortfolioMD.

6. No guarantee of outcome

PortfolioMD does not guarantee that use of the Platform will result in a successful Portfolio Pathway application, specialist registration, or any other professional outcome. The outcome of any application depends on many factors outside the Platform's control, including but not limited to your actual evidence, your portfolio composition, assessor judgement, and changes to GMC or RCoA requirements.

You acknowledge that you use the Platform at your own risk and remain solely responsible for the content and outcome of any application you submit.

7. Intellectual property

PortfolioMD's content: The Platform's code, design, prompts, encoded guidance, and branding are owned by PortfolioMD. You may not copy, reproduce, or commercialise this content.

Your content: You retain ownership of the text you input into the Platform. By using the Platform you grant PortfolioMD a limited licence to process that text through the Anthropic API for the purpose of providing the service to you.

Generated content: Content generated by the AI in response to your input is provided to you for your own use in preparing your application. PortfolioMD does not claim ownership of generated text once produced, but does not warrant its originality, accuracy, or fitness for purpose.

8. Service availability and changes

The Platform is currently provided free of charge as a beta service. PortfolioMD does not guarantee continuous availability and may at any time:

Modify, suspend, or discontinue any part of the service
Update encoded guidance, prompts, or features
Introduce paid tiers or change pricing structures
Restrict or terminate access for users who breach these Terms

We will provide reasonable notice of significant changes where practicable, but reserve the right to make changes immediately where required for legal, security, or operational reasons.

9. Limitation of liability

To the maximum extent permitted by law, PortfolioMD Ltd:

Makes no warranties, express or implied, about the Platform's accuracy, reliability, suitability, or availability
Accepts no liability for any loss, damage, professional consequence, or application outcome arising from your use of the Platform
Accepts no liability for any breach of professional duty arising from your inappropriate use of the Platform, including but not limited to entering patient-identifiable data or submitting unedited AI-generated content
Accepts no liability for any third-party service (including Anthropic, Netlify, Cloudflare) used to deliver the Platform

Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be limited or excluded under UK law.

10. Indemnity

You agree to indemnify and hold harmless PortfolioMD Ltd from any claims, damages, losses, or expenses (including reasonable legal fees) arising from your breach of these Terms, your misuse of the Platform, or any consequence of content you submit externally based on Platform output.

11. Termination

You may stop using the Platform at any time. PortfolioMD Ltd may suspend or terminate your access at any time, with or without notice, if you breach these Terms or for any other reasonable cause.

Sections 4, 5, 6, 7, 9, 10, 12, and 13 survive termination.

12. Governing law and disputes

These Terms are governed by the laws of England and Wales. Any dispute arising from or relating to these Terms or your use of the Platform will be subject to the exclusive jurisdiction of the courts of England and Wales.

13. Changes to these Terms

We may update these Terms from time to time. The "Last updated" date at the top of this page will reflect any changes. Material changes will be notified by a notice on the Platform. Your continued use of the Platform after any change constitutes acceptance of the updated Terms.
